Read below for the guidelines for chairing a Fortnightly Function.
- A Chairperson must have a co-chair or a committee when accepting an event. There is much planning and organizing and in the case of unforeseen circumstances it is helpful to have available help.
- A Board member will be assigned as your mentor when you volunteer to host a function. She will contact you and be available to answer questions.
- Following is the time frame for the functions:
- Harvest Event October
- Christmas Party December
- Tea (optional) February
- Charity Luncheon April
- Annual Meeting June
- The date and place for all functions should be reserved and provided to the Chairperson of the Governing Board before August 15th.
- Cost of tickets for dinners should be $50 or less. Brunches and lunches should be more reasonable. Effort should be made to keep cost of tickets as low as possible.
- Chairpersons or a committee member must attend a meeting of the Executive Board approximately five weeks before the function. You will receive an invitation. At that time a copy of the function invitation, which should include the place, date, time, meal selection, seating arrangement requests, address for reservation return and ticket price, should be presented to the Executive Board for review.
- The committee should send the checks to the Treasurer no later than five (5) days following the function.
- Centerpieces are not necessary but if desired must be included in the price of the ticket or may be donated. Be creative! There are many bargains available.
- The committee should provide seating placement cards. The club provides raffle tickets and the cost of stamps.
- Members are asked to donate gifts for the chance tables at the Christmas Party and Charity Luncheon. A note regarding this should be included in the invitation.
